Hello Everyone!
The Green Family YMCA is excited about hosting this year's Division 2
Championship Meet. We hope that we are able to make this event as stress
free as possible. In order to acheive some of that before the meet, we are
extending you some important Divisional news that will help you throughout
the day.
Don't forget to tell your families about the parking pass needed for Akron
U. It is located on the NEO League Website under our divisional meet
information. They need to print this off and place it in their front car
window while parked at Akron U.
Attached you will find instructions for the Divisional Clerk of Course.
Please forward this to your Age Group Coordinators, they will need this
information. We have some really detailed oriented people working this
area and we hope that we can make getting those younger swimmers to the
blocks on time as easy as possible. Clerk of Course is for the 10 and Under
swimmers ONLY. All 10 and Under swimmers are asked to be in the Raquetball
Courts, not on the pool deck in between events. 11 and olders swimmers will
report to the blocks for their events.
It will be each team's responsibility to get their swimmers to Clerk of
Course or to the blocks for each event. Announcements will be made in the
pool area as well as in the racquetball court hallway for events. Last
calls for all events will be made in both areas as well.
All teams will have bleachers on the pool deck for their 11 and older
swimmers. Hillcrest's entire team will be on the pool deck. Hillcrest will
have two sets of 2-tiered bleachers that are located at the far end of the
West Pool along the far wall. Please look for your team's name above the
bleacher that is assigned to your team. Please make sure that your swimmers
are aware of other people on the pool deck and that they keep their
belongings in a confined area of space and not in the walkway of the
swimmers and workers on the pool deck.
The small bleachers along the far wall are for coaches only. No swimmers
will be allowed in this area, unless they are speaking with their coach.
Second, please pass this information onto your assistant coaches, officials
and other volunteers. All volunteers need to report to the Volunteer Office
(located to the left of the desk as you come in the main doors of the ONAT)
to receive their volunteer badge, hand stamp, heat sheets, food/drink
vouchers and swimmer cards (age group coordinators ONLY).
Third, for those families who missed out on ordering the t-shirts, t-shirts
can also be ordered and paid for at the Admissions table during the meet.
Shipping costs will be included in the price of the ordered t-shirts.
T-shirts will cost $18.00 at the Divisional Meet and can ONLY be ordered.
We will not have any for sale at the meet.
Kast-A-Way Swimwear will have a setup at the meet in the concession area and
Ohio Action Photograghy will be taking pictures of all swimmers at the meet
as well. There will be a concession stand at the meet. Concessions are ran
by Akron U.
Fourth, Head Coaches will receive their coaches' packet with a swimmer event
list to post by your racquetball court door, a psych sheet, heat sheets,
Wooster Spring Camp info, food/drink vouchers for all their coaches and name
badges for their coaches at the coaches' meeting in the Hospitality Room.
All coaches need to attend the coaches' meeting.
All volunteers and coaches will recieve food/drink vouchers to be used in
the Hospitality Room during the meet. Hospitality will accept a food/drink
voucher in exchange for one drink and a variety of different food
items. The GYSB is providing all the food in the Hospitality Room from
Panera Bread, Chick-Fil-A, Subway and Quiznos. The drinks are provided by
the parents of the Green Barracuda Swim Team.
Lastly, the t-shirts that your team ordered will be sorted by name and
placed in a box just inside your raquetball court door. A meeting
schedule and a warm-up schedule will also be posted outside each team's
raquetball court and on the pool doors. All volunteers need to attend
their position's meetings for further information.

1. There will be at least seven (7) Clerk of Course workers on deck at all
times. Four (4) will be lining up the swimmers, two (2) will be walking swimmers
to the blocks and one (1) will be at the blocks for Swimmer Control. All Clerk
of Course workers will be on deck for all relays. At least one (1) Age Group
Coordinator from each team is to be on deck at Clerk of Course at all times for
Individual events. Two (2) Age Group Coordinators from each team are to be on
deck to help with all relays.
2. The Clerk of Course will be located at the shallow end of the West Pool.
There will be Four (4) sets of bleachers available for Clerk of Course. There
will be two (2) 4-tiered bleachers that will have the numbers 1 - 8 on them that
Clerk of Course will use to line up the heats. There will also be two (2)
3-tiered bleachers called the "Bull Pen" that will house swimmers until the
Clerk of Course is ready to line up those heats. Heat one (1) and heat two (2)
for all individual events will report immediately to Clerk of Course. Heat one
for relay events will report immediately to Clerk of Course. All other heats
will sit on the Bull Pen Bleachers until Clerk of Course calls their heat and/or
event.
3. We ask that all 10 & Under swimmers for all teams be housed in their
team's Racquetball Court located in the hallway outside the pool.
4. We will have Swimmer Cards for all 10 & Under swimmers for Clerk of Course
ONLY. Timers will have "timer sheets" to record the times of all the swimmers.
5. All Age Group Coordinators need to register with the Volunteer Office upon
arrival to get their name badges, heat sheets, food/drink vouchers and the
Swimmer Cards for their team. No one is allowed on deck without a Volunteer
Badge or Barracuda Staff Shirt.
6. Swimmers from all teams will get their cards from their team's Age Group
Coordinators before going out on the pool deck.
7. Swimmers will give their "Swimmer Card" to the person running the Clerk of
Course when they get out on the pool deck when their heat is called. In return
they will receive a "Lane Card" with their lane number and be seated on the
bleachers at Clerk of Course.
8. For Individual Events, swimmers will be lined up on the (2) two-numbered
Clerk of Course bleachers according to lane number and heat number. The
bleachers are marked 1 - 8 for each lane and Clerk of Course will seat up to 8
heats before walking the swimmers around to the blocks.
9. For Relay Events, the (2) two-numbered Clerk of Course bleachers will hold
two (2) heats of eight lanes. For example, swimmers in lane one will sit 1 - 4
and then lane two will sit 5 - 8 on the first row and then lane three will sit 1
- 4 on the second row and so on until we have all eight lanes on one set of
bleachers. Once both bleachers are full and lined up, Clerk of Course will walk
the first two heats to the blocks.
10. One (1) Age Group Coordinator from each team is to be on deck at all
times for all individual events. Two (2) Age Group Coordinators are to be on
deck for all relays. Age Group Coordinators from all teams are asked to help
Clerk of Course with their team's 8 and Under relays.
11. All Heats for each Event will be walked around the far side of the West
Pool with a Clerk of Course member carrying a sign for that event. The sign will
stay with the swimmer in Heat 1; Lane 1 so that the Swimmer Control will know
what event is up next.
12. Swimmer Control will then take the Event sign and each swimmer's "Lane
Card" as each heat arrives to go up to the blocks.
13. Clerk of Course will collect "Lane Cards" from Swimmer Control when they
bring another Event to line up.
14. Swimmers finished with their heat will wait with a timer until the next
heat is on the blocks and then they will EXIT the blocks towards lane one and
the pool doors. One Age Group Coordinator from each team needs to be waiting at
the pool doors to collect their swimmers after each event.
15. Events will be called on the pool deck over the buildings announcement
system. As events are called on deck, they will also be called in the hallway
from a DJ sound system.
16. It is suggested that one coordinator or parent from each team stand
outside their team's Racquetball court to hear the Events as they are being
called.
